Registration and Records
The Office of Registration and Records is responsible for maintaining student academic records and providing related services such as grading, degree audits, student data management, enrollment and degree verification, transcripts, class scheduling, academic policy implementation, records management, and the awarding of transfer credits and diplomas. We ensure the integrity of academic records and student data while delivering high-quality, student-focused services.
Enrollment and Degree Verification
If you are look for proof that you are registered at, or earned a degree from Hilbert College, official enrollment and degree verification is available in two ways.
- First, students can get verification of enrollment and degree by requesting an official transcript.
- Second, enrollment and degree verification is available through the National Student Clearinghouse for all current and former Hilbert College students.
An enrollment verification is an official document that can be used whenever verification of student enrollment status is required for scholarship purposes, medical coverage, jury duty, car insurance, etc. It does not include individual course or grade
information and does not provide GPA.
Enrollment verification through the National Student Clearinghouse includes term start date, term end date, enrollment status (full-time, part-time, less than half-time), expected graduation date, status effective date, and the date certified by Hilbert
College for current and historical enrollment.
Organizations such as health insurance companies and prospective employers can request enrollment verification directly from the National Student Clearinghouse. Select the
"Verify Now" option in the middle of the page. A fee of $12.50 is charge by the Clearinghouse for this service.
Students who know their Hilbert College login information can generate an Enrollment Verification Certificate via the MyHub Portal through National Student Clearinghouse. This can be accessed via Self-Service under Student Record Forms or by using the
link below. Once you have logged into your portal, select "Download Certificates". MyHub can also be used to request a transcript.

Former students who do not know their login information can access an can Enrollment Verification Certificate directly from the National Student Clearinghouse. Select
the "Verify Now" option in the middle of the page. A fee of $12.50 is charge by the Clearinghouse for this service. Alternatively, students can request a transcript, which
will indicate dates of enrollment as well as grades.

Students may request to have official transcripts of their Hilbert College academic work sent to themselves or designated third parties. Hilbert transcripts are a permanent, irrevocable record of all courses attempted or completed, credits, final grades, and degrees awarded at the undergraduate and/or graduate level.
Online Transcript Ordering
Hilbert College offers students 24/7 online transcript ordering services through the National Student Clearinghouse. Transcript fees are due at the time of the request. Hilbert incurs a $15.00 fee per request. Processing fees may be applied through the National Student Clearinghouse of up to $3.50 per request. Students can include attachments to electronic requests as needed.

Obtaining Documents & Data Originating from another Agency or Institution
In accordance with national record release standards, we do not release documents that have become the property of Hilbert College through a legal release to a third party. In addition, the college does not release or verify other pieces of personal information such as visa numbers, social security numbers, passport numbers, health conditions, etc. We are not the official, legal custodian of record for any data that was not assigned by the institution or for documents that did not originate at Hilbert College and therefore do not have the legal authority to release them. This includes documents such as high school records and transcripts, ACT/SAT scores, AP/IB/CLEP/DSST scores or degree information and college transcripts from other institutions. These records are the property of the college and are for our internal college purposes only. Please contact the originating agency, organization or institution that produced the original records to obtain a legal copy.
Hilbert College cannot certify, verify or validate documents as "original" - "authentic" - "verified" - "certified" (etc.) with the college seal and official signatures unless they originate at the college. This includes copies of diplomas, transcript or other documents previously released to the student or a third party. Students who require an additional certified or notarized diploma, transcript or other official Hilbert College document, should contact us to order one.
