Housing Over Break Policy

Housing over Break

During Winter and Spring academic break periods, the residence halls are closed. In extenuating circumstances, residents may request to stay on campus during winter and spring break periods. During Thanksgiving and Easter break, the residence halls shall remain open but students will need to declare they are remaining on campus. Such requests or declarations should be made using the Break Housing Request Form to the Office of Residence Life by the deadline provided to residents before each break.

Break housing is not guaranteed and is based on completion of the Break Housing Request form. The Office of Residence Life will publish opening and closing schedules on the Hilbert College Residence Life webpage and communicate timelines and deadlines to residents via Hilbert email. Approval for break housing is limited to students who have an academic or unavoidable reason to stay on campus. During academic break periods, there may be limited or unavailable services including dining and mail services.

Residents approved to live on campus during academic break periods are responsible for paying the Break Housing Fee of $200 per week from Sunday to Saturday by the communicated deadlines. Any incomplete weeks during the break period will be prorated. Failure to complete the Break Housing Request Form by the posted deadline may result in an additional late break housing fee of $75.00 or denial or break housing request.

For more information regarding the Break Housing Policy, please visit the Student Handbook.

Residence Policy

Residence Policy

All undergraduate students are required to live on campus during their first 3 years, equivalent to six semesters of attendance. Hilbert College’s residency requirement is derived from national statistics that demonstrate students who live in on campus in residence halls benefit in a multitude of ways, including:

  • Positive interactions with other students who share similar and different interests;
  • Engagement with other students through study groups and academic support resources and networks;
  • Development of friendships easily and quickly;
  • Participation in on-campus social and student programming opportunities;
  • Increased interaction with faculty and residential staff; and
  • Greater satisfaction with the overall Hilbert experience.

 A student may request an exemption from the residency requirement if they meet one of the following:

  • Students live full-time with a parent, legal guardian, or College-approved family member at the primary residence of the parent, legal guardian, or College-approved family member within 35.0 driving miles of Hilbert College.  A College-approved family member is defined as a grandparent, aunt, uncle, brother, sister or cousin.  Approved family member must be at least 25 years old.
  • Student is an incoming transfer student with at least 60 college credit hours and is at least 21 years of age.
  • Student is at least 21 years of age before the start of the semester.
  • Student is married and provides proof of marriage certificate.
  • Student is a veteran and provides proof of military service.
  • Student has dependent children.
  • Student is an international student living with a verified host family.
  • Student is financially independent as determined by the student’s FAFSA application.
  • Student has a medical, religious, or well-being housing need that cannot be reasonably accommodated by Hilbert College.
  • Student has a well-documented, extenuating circumstance not covered in any of the above exemptions.

The Dean of Students or their designee will review all requests for exemption from the residency requirement.  Returning students interested in submitting a request for exemption must do so by April 1st for the upcoming Fall semester.  New students must submit their request for exemption at least 30 days before Hilbert College’s official move in date. Students submitting a request for exemption are encouraged to meet with the Office of Financial Aid to understand how living off-campus could impact any financial aid or scholarships awarded.

Students must comply with Hilbert College’s residency requirement unless a request for exemption has been approved. Alternative arrangements for housing, including a lease commitment, will not be considered sufficient reason for approval of the exemption request. If a student’s request for exemption is denied and the student fails to complete a housing form, the Office of Residence Life will assign the student to on-campus housing, and the appropriate charges will be added to the student’s bill.

Students aged 23 and over at the start of the academic year who choose to live on campus may reside only in on-campus apartment housing on a space-available basis.  Graduate students may request on-campus housing and these requests will be considered after all undergraduate students are placed.

Students dismissed from on-campus housing for disciplinary reasons and students on probation or parole for misdemeanor or felony offenses are not eligible to live in on-campus housing. Students are required to notify the Office of Residence Life within 48 hours of a change in circumstances that would affect their eligibility to live on campus. Students who fail to notify the Office of Residence Life within the stated timeline will be subject to Hilbert College disciplinary action.

Residence Policy Appeal Form

Residence policy appeals are reviewed by Residence Life and the Dean of Students. Decisions are final. Appeals may require extensive documentation.

Social Life

Academic Support
When you’re surrounded by fellow students, you have the opportunity to collaborate and learn from each other. Many of the people you hall with may be in the same classes you’re in, or have taken them before. Friends can be a tremendous academic resource and being able to pop into the room next door to ask a question is unrivaled.

Convenience
Between school, work, and sleep deprivation, the last thing anyone wants to worry about the commute to campus. This is even more important to underclassmen, who are adapting to an independent life style – so living right where you take classes can be a huge help. Proximity also makes it easier to be involved with clubs, sports and everything else that goes on here at Hilbert.

Worry-Free
Not ready to worry about all the maintenance, utilities, groceries, and responsibilities that often comes with living on your own? On campus, it’s all taken care of for you.

Social Life
Many of our students form lasting friendships that they stick with through the rest of college starting in their freshmen residence hall. Living on campus provides a tight-knit community of people that includes myriads of opportunities for expansion.

Living with a diverse group of people also expands your social knowledge outside of the classroom. You have a chance to get to know students from all over the country and people with incredibly varied life experiences.

Some key highlights of living on campus include:

  • Intentional, engaged staff, which includes Resident Assistants, Office Assistants to distribute mail, and our two Professional live-in staff members and leadership team within Student Life.
  • Frequent programming activities with quality content rooted in our Franciscan values
  • Late night and weekend programming: Hawks Take Flight, off-campus programming services, pop-up programs during RA duty hours, and celebratory dances including Homecoming's Blue, Black and White, and Glowmageddon (hyper glow).
  • All-you-can-eat meal plans for traditional-style housing
  • On-campus coffee shop (78 West) with friendly staff to assist in your refreshment needs
  • Access to quality resources including on-campus counseling, wellness center, academic support, career development, and more!

Housing Amenities

  • Free washer and dryer facilities.
  • Free and accessible parking
  • Wireless and land line internet access for computers in all rooms.
  • SpectrumU streaming services
